For accounting firms · Pilot 2026

The documents come in. The invoices get read. You approve, Fortnox gets the rest.

BokFai is the firm's digital desk: every client gets its own email address and binders per fiscal year, every invoice is read and gets a posting proposal, and what you approve goes to Fortnox as a supplier invoice or a voucher. The original is never changed.

  • The original stays untouched, always
  • Nothing reaches Fortnox without a person's approval
  • Swedish and English, on desktop, tablet and phone

How it works

From document to Fortnox in four steps

The firm works as before, in binders, client by client, but what used to take time is done by BokFai.

  1. 01

    The documents come in

The client emails their own BokFai address, uploads in the web app or photographs the receipt. Duplicates are recognised by their content.

  2. 02

They land in the right binder

Supplier invoices, receipts, bank statements and contracts are filed per client and fiscal year; rules learn from where you put them.

  3. 03

The invoice is read and posted

Supplier, amounts, VAT, dates and payment reference are read from text, scan or photo. The posting is proposed from the supplier's history, and AI is asked only when the rules are not enough.

  4. 04

    You approve, Fortnox gets it

What is approved becomes a supplier invoice or a voucher in the client's Fortnox, with the original attached and Fortnox's number back in the binder.

Features

What the firm does every day, in one place

BokFai does not replace the accounting system. It takes care of everything that happens before the bookkeeping, and keeps every step.

  • Document inbox

One email address per client. Attachments become documents, the mail is kept, and what no rule recognises waits in Unsorted until someone places it.

  • Binders per fiscal year

A to Ö as on the shelf: supplier invoices, customer invoices, receipts, bank, payroll, tax, contracts and annual accounts, with monthly folders where needed.

  • Invoice reading

E-invoices in XML, text layers, OCR of scans and photos, templates per supplier, and AI as the last step, with a confidence per field so you see what is certain.

  • Posting with proposals

Posting proposals from the supplier's history and the client's chart of accounts from Fortnox. Debit must equal credit before anything can be approved.

  • Fortnox connection

The client's chart of accounts, series, cost centres, projects and locked periods come from Fortnox. What is sent gets Fortnox's number back; a correction is handled as a credit note or a reversing voucher.

  • PDF tools

Rotate, split, merge, delete pages, OCR layer, compress, stamp and redact, always as a new file beside the untouched original.

Fortnox

Fortnox stays the accounting system

BokFai connects to each client's Fortnox with a service account the client approves. Nothing is written in Fortnox until a person has approved the posting in BokFai.

  • Supplier invoices with the fileThe invoice is created in Fortnox with the original attached in its inbox, booked at once or preliminary for approval, as the binder is set.
  • Vouchers for receipts and expensesReceipts and expenses become vouchers in the series you chose, with the document connected.
  • Corrections without duplicatesIf the posting changes after sending, BokFai handles the credit note or the reversing voucher and sends again. The same invoice is never created twice.
  • The whole register in syncChart of accounts, VAT codes, cost centres, projects, voucher series, fiscal years and locked periods are fetched every night and shown in BokFai, never typed by hand.

Security and traceability

Built to be shown

Accounting records must be readable in seven years. So the original is never touched, and every step is kept.

  • The original is never overwritten

Every file is stored with its checksum in object-locked storage. Every edit becomes a new file beside it.

  • Data in the EU

The server runs at Hetzner in Germany and the documents are stored at Wasabi in Amsterdam. Personal identity numbers are encrypted in the database.

  • Two-factor sign-in

Sign in with personal identity number or email, a password and an authenticator app. Roles per firm: owner, accountant and reviewer.

  • Timeline and audit log

Who uploaded, read, corrected, approved and sent, per document and for the whole firm.

Common questions

Questions and answers

Does BokFai replace Fortnox?

No. Fortnox is still the accounting system. BokFai takes care of everything before the bookkeeping, receiving, filing, reading and posting, and sends what is approved to Fortnox.

How do the client's documents come in?

Every client gets its own email address at BokFai (forwarded from the suppliers or from the client's own inbox), and the firm can upload PDFs, pictures and XML e-invoices directly in the web app.

What if the AI reads something wrong?

Every field shows how it was read and how certain it is. The rules and supplier templates come before AI, which is asked only when something is missing. Everything is corrected in BokFai before approval, and the correction teaches the template for next time.

Can the original be changed by mistake?

No. The original is protected by the application, the database and the storage's object lock. Rotating, splitting, redacting and stamping always happen in new files.

What does BokFai cost?

In 2026 BokFai is in a pilot with one accounting firm and is taking on a few more. The price is set per firm during the pilot. Get in touch and we will tell you more.
